SPECIFICATIONS FOR ICP ORGANIZATION

Les « Journées Internationales d’Études sur les Polyphénols » ou “International Conference on Polyphenols” ont lieu tous les deux ans.
The “International Conference on Polyphenols” or « Journées Internationales d’Études sur les Polyphénols » will be organized every two years

Lieu du Congrès / Congress location

Conformément au règlement intérieur, le lieu du congrès est fixé par le Conseil d’Administration du Groupe Polyphénols en réponse à l’appel d’offre lancé aux adhérents par courrier ou au travers du site Web du Groupe Polyphénols.
In agreement with the rules of the Groupe Polyphénols, the Board (Conseil d’Administration) determines the location of the congress among the candidacies received to the call launched either by mail or on the Web site of the Groupe Polyphénols.

Responsabilités financière et technique / Financial liability

La décision du Conseil d’Administration du Groupe Polyphénols, d’attribuer à une candidature la mission d’organiser son prochain Congrès (Journées Internationales d’Études sur les Polyphénols / International Conference on Polyphenols) impose l’acceptation par ce candidat de prendre à sa charge complète l’organisation financière de ce congrès. Celle-ci sera réalisée sous la responsabilité du Président du Comité local d’organisation qui pourra alors disposer des excédents s’il en réalise, mais qui devra assumer les déficits dans le cas contraire.
L’organisateur s’engage à verser au Groupe Polyphénols un montant correspondant d’une part à 5% de l’ensemble des frais d’inscriptions au congrès pour les membres et non membres du GP hors étudiants, et d’autre part à 2% des frais d’inscription pour les étudiants).
The decision of the Board of the Groupe Polyphénols to attribute to a candidate the mission to organize its next congress (International Conference on Polyphenols) implies the acceptation by the candidate to take in charge the financial organization of the congress. The congress will take place under the only financial liability of the President of the Local Organizing Committee, who will keep any gain arising from the organization of the congress but will take in charge any deficit.
The organizers commit themselves to pay the Groupe Polyphenols a fee corresponding to 5% of the total registration fees of all GP members and non-members, except the students, and 2% of the total student registration fees.

Durée du congrès / Congress duration

La durée du Congrès est de 4 jours au maximum sans interruption.
The duration of the Congress is four days without any interruption.

Langue / Language

La langue officielle du Congrès tant pour les résumés, communications, et les affiches, que pour les actes est l’anglais.
The official language of the Congress for abstracts, communications and posters and for the proceedings is English.

Comité local d’Organisation / Local Organizing Committee

En accord avec le règlement intérieur, le Comité local d’Organisation est constitué au minimum de cinq membres parmi lesquels :

  • Au moins deux membres du Groupe qui accueille “International Conference on Polyphenols”,
  • Au moins un membre du Comité Scientifique,
  • Au moins un membre du Conseil d’Administration (en général le Président),
  • Au moins un membre du secrétariat.

Il a en charge :
1) L’organisation interne du congrès :

  • Le publipostage,
  • La conception et l’envoi de la première annonce et des suivantes,
  • Toute correspondance avec les participants,
  • L’organisation pratique (salle, repas, hôtels, bus, réceptions…),

2) Le secrétariat scientifique :

  • La réception des résumés,
  • La présentation de ces derniers au Conseil Scientifique,
  • L’édition des actes.

In agreement with the rules of the Groupe Polyphenols the Local Organizing Committee must be constituted by at least five members, including:

  • At least two members of the scientific Group who will host the “International Conference on Polyphenols”,
  • At least one member of the Scientific Committee of the Congress,
  • At least one member of the Board (Conseil d’Administration) of the Groupe Polyphénols (usually the President),
  • At least one member of the secretariat.

The Local Organization Committee will take care of
1) The internal organization of the congress:

  • The mailing,
  • The design, printing and mailing of the first announcement and of the following ones,
  • All correspondence with the attendees,
  • The practical organization (room, lunch, accommodation, bus, reception…),

2) The Scientific Secretariat:

  • The reception of the Abstracts,
  • Their presentation to the Scientific Committee,
  • The editing of the Proceedings.

Comité Scientifique / Scientific Committee

Le Comité Scientifique International est constitué de personnalités de grande renommée dans le domaine des Polyphénols. Sa composition doit assurer une représentation équilibrée des différents pays participant au Groupe Polyphénols. Il aura en charge de sélectionner les communications orales et par affiches.
En accord avec le règlement intérieur, le Comité Scientifique comprend obligatoirement :

  • Le Président en exercice du Groupe Polyphénols,
  • Un membre du Conseil d’Administration,
  • Le Président du Comité d’Organisation.

Les autres membres du Comité Scientifique sont choisis par le Conseil d’Administration en accord avec le Comité d’Organisation en s’attachant à ce que deux membres ou plus soient retenus pour chacun des thèmes scientifiques abordés pendant le Congrès.
The Scientific Committee is constituted by well-known personalities in the field of Polyphenols research and development. The composition of the scientific Committee must ensure an equilibrated representation of the countries of the Groupe Polyphénols members.
In agreement with the rules of the Groupe Polyphénols the Scientific Committee must include:

  • The President in office of the Groupe Polyphénols,
  • At least one member of the Board (Conseil d’Administration) of the Groupe Polyphénols,
  • The President of the Organization Committee.

The other members of the Scientific Committee are chosen by the Board (Conseil d’administration) in agreement with the Local Organizing Committee. Each main scientific topic presented during the congress must be represented by at least two members of the Scientific Committee.

Organisation Scientifique du Congrès / Scientific Organization of the Congress

Les thèmes principaux du Congrès ainsi que les conférenciers pléniers sont choisis par le Conseil d’Administration en accord avec le Comité d’Organisation.
Les responsables de chaque thème sont chargés de contacter les conférenciers pléniers pressentis.
Main topics and the Invited Speakers are selected by the Board (Conseil d’administration) in agreement with the Local Organizing Committee.
The scientists in charge of each topic will assume to contact the Invited speakers.

Première annonce / First announcement

La première annonce doit paraître au plus tard 14 mois avant le congrès en y précisant :

  • Les thèmes proposés,
  • Les conférenciers pléniers pressentis,
  • Le montant des droits d’inscription,
  • L’appel à communication,
  • Les dates importantes,
  • Le formulaire d’inscription,
  • Le formulaire d’adhésion au GP.

Le Groupe Polyphénols tient à disposition des organisateurs les listes des membres du Groupe Polyphénols et des participants au précédent congrès. Ces documents sont confidentiels et ne peuvent pas être cédés à des tiers.
The first announcement must be published at least 14 months before the congress and must include:

  • The major topics,
  • The invited speakers,
  • The fees,
  • The call for papers,
  • The important dates,
  • The registration form,
  • The Groupe Polyphénols membership form.

The Groupe Polyphénols will provide to the organizers the list of the members of the Groupe Polyphénols and the attendees to the previous congress. These documents are confidential and must not be given to a third party.

Deuxième annonce / Second Announcement

La deuxième annonce doit paraître 6 mois au plus avant le congrès en y mentionnant le programme définitif.
The second announcement must be published at least 6 months before the congress and must include the final program.

Actes / Proceedings

Deux types d’actes sont édités

  • “Polyphenols Communication” 200X : Il comporte un résumé de deux pages de toutes les communications orales et par affiches. Ce volume doit être remis à chaque participant à son arrivée au congrès. Le prix est compris dans les frais d’inscription.
  • “Recent Advances on Polyphenol Research Volume X” : ce livre, publié dans la série RAPR, éditée par Wiley-Blackwell, quelques mois après le congrès, contient le texte de toutes les conférences plénières. Une faible partie du prix est compris dans les frais d’inscription. Chaque participant au congrès bénéficie d’une remise de 50 % sur le prix décidé par WILEY.

Two kinds of acts will be printed and given to all attendees. Their price is included in the registration
fees:

  • Polyphenols Communication” 200X: this booklet must be given at the beginning of the Congress. It will include a two pages summary of all oral and poster communications.
  • ” Recent Advances on Polyphenol Research Volume X ” : this book which includes a paper for each plenary lecture, will be published in the regular RAPR series by Wiley-Blackwell, a few months after the Congress. Each attendee will have a 50% discount rate on the price determined by Wiley-Blackwell.

Site web / Web Site

Le Comité d’Organisation doit prendre en charge la création d’un site Web.
The Organization Committee must take in charge the creation of a web site.

Prix scientifiques et bourses / Scientific prizes and grants

En cas d’attribution de prix scientifique et de bourses, le conseil d’Administration choisit les récipiendaires.
If scientific prizes and/or grants are attributed, the Board (Conseil d’Administration) will select the prize winners.

Tarifs d’inscriptions /Registration fees

La politique du Groupe Polyphénols dans ce domaine est de veiller à permettre au maximum de personnes l’accès aux “Journées Internationales d’Etudes du Groupe Polyphenols”. Dans ce but, l’organisateur devra toujours rechercher les moyens (durée du congrès, locaux, sponsorings…) qui lui permettront d’offrir le maximum de prestations au meilleur prix. L’ordre de grandeur peut se situer par comparaison à celui des précédents congrès en tenant compte de l’évolution du coût de la vie.
The policy of the Groupe Polyphénols is to allow the higher number of scientists to be able to attend the “International Conference on Polyphenols”. In this aim, the organizers will take care to seek to any solution (congress location, duration, sponsoring…) which will allow them to furnish the best service at the lowest price. The expected fees must be in the same range as those of the previous congress taking into account inflation.
